Terms of Service
These terms apply to repair, data recovery, installation and managed IT work carried out by Sablefir Systems LLC, and to your use of this website. Signing an intake sheet or approving a quote means you accept them.

1. Scope
“We”, “us” and “Sablefir” mean Sablefir Systems LLC of 3361 Heron Way, Portland, OR 97209. “You” means the customer named on the intake sheet, quote or service schedule. Where a signed service schedule conflicts with these terms, the schedule prevails for that engagement.
2. Estimates, quotes and approval
- A diagnostic assessment costs a flat $49 and is credited against the repair if you approve it.
- Quotes are valid for 30 days and set out parts, labour and expected timescale.
- No chargeable work begins before you approve the quote by email, text, or signature.
- If the true cost turns out lower, you pay the lower figure. If a hidden fault would push the cost higher, we stop and ask.
- Timescales are honest estimates, not guarantees; supplier delays are outside our control and we will tell you promptly if one arises.
3. Access, passwords and legality
- You confirm you own the equipment or are authorised by the owner to have it serviced.
- Any password you provide is used solely to complete the work and is removed from our records when the job closes.
- We will not bypass activation locks, remove lawful account protections, defeat licensing, or work on equipment we reasonably suspect is stolen.
- You are responsible for having the licences for software you ask us to install.
4. Data, backups and risk
- Repair carries an inherent risk to stored data. Back up before you hand equipment over wherever you can.
- Where you ask, we take an image before work begins — this is a chargeable but strongly recommended step on any failing drive.
- We are not liable for loss of data that was already unrecoverable, or that existed only on media we were not asked to protect.
- Section 4 of the Privacy Policy governs how we handle files we can see.
5. Parts and replacements
- We use new parts, genuine where available and grade-A equivalents otherwise. The quote states which.
- Replaced components become our property for recycling unless you ask for them back at intake.
- Parts we supply carry a 12-month warranty; parts you supply carry none from us, and we may decline to fit them.

6. Collection, storage and abandoned equipment
- We store completed equipment free for 30 days after we notify you it is ready.
- After 30 days a storage charge of $5 per day may apply, capped at $150.
- Equipment uncollected 90 days after notification, with three documented attempts to reach you, is treated as abandoned under Oregon law. Storage media is destroyed rather than resold, and any proceeds from recycling the remainder are applied to the outstanding balance.
7. Payment
- Retail customers pay on collection by card, debit, cash or bank transfer.
- Contracted business clients are invoiced monthly, payable net 14 days.
- Projects over $2,000 are billed 40% on commencement, 60% on completion.
- Overdue balances may attract interest at 1.5% per month, or the maximum permitted by Oregon law if lower.
- Prices exclude any applicable taxes; Oregon levies no state sales tax.
8. Managed service contracts
- Managed plans run month to month with 30 days' written notice on either side.
- Seat counts are trued up monthly; added seats are pro-rated.
- Response targets are set out in your service schedule and measured during business hours.
- On termination we supply your documentation, asset register and administrative credentials within 10 business days at no charge. We do not hold clients hostage to their own systems.
9. Liability
Nothing in these terms excludes liability that cannot lawfully be excluded, including for death, personal injury or fraud caused by us. Subject to that:
- Our total liability for any engagement is limited to the amount you paid us for that engagement in the preceding twelve months.
- We are not liable for indirect or consequential loss, including lost profits, lost business or loss of goodwill.
- We are not liable for pre-existing faults, third-party software behaviour, or hardware that fails outside the warranty terms.
- Where we damage equipment through our own negligence we will repair it or replace it with a comparable unit.
10. Events outside our control
We are not in breach of these terms where performance is prevented by events beyond our reasonable control, including utility failure, severe weather, supplier failure, industrial action or public emergency. We will tell you promptly and agree a revised timescale.
11. Website use and intellectual property
The text, layout, photography and logo on this website belong to Sablefir Systems LLC. You may print or save pages for your own reference. You may not republish our content commercially, scrape the site at volume, or present our material as your own. Content is provided in good faith for general information; it is not a substitute for a written quote.
12. Governing law and disputes
These terms are governed by the laws of the State of Oregon. The courts of Multnomah County, Oregon have exclusive jurisdiction. Before litigation, both sides agree to attempt resolution by direct discussion and, failing that, non-binding mediation in Portland.
13. Changes to these terms
We may update these terms; the version in force is the one published on the date your quote was issued. Material changes affecting contracted clients are notified 30 days in advance in writing.
